- Participants who submit entries
- Individuals who vote in People’s Choice

- Identity and contact details: name, email address, phone number, city or province, university or institution (if provided)
- Participant details: enrolment status confirmation, origin location selected for the concept, project title
- Submission materials: concept write up, A2 poster PDF, images of scannable face and QR code, optional pitch video, and any supporting files you upload
- Technical data: IP address, device and browser information, approximate location derived from IP, log files, cookies or similar technologies (for security, analytics, and fraud prevention)
- Voting data: voter email or verification token (if used), vote timestamp, and related anti fraud signals
- Winner verification and prize fulfilment data: bank account details for cash prize transfer, account email for HOVARLAY Pro subscription activation, and reasonable identity checks required to prevent fraud (for example name matching to bank account holder)
We do not require participants to provide a tax number. Winners must reside in Indonesia to receive cash prizes.
4. Why we use your data
We use personal data for the following purposes:
- Administering the competition: registration, eligibility checks, submission intake, communication, support, and announcements
- Judging: preparing anonymised judging packs and coordinating the jury process
- People’s Choice voting: enabling voting, preventing fraud, and validating results
- Prize fulfilment: contacting winners, verifying identity, paying cash prizes, and providing subscription prizes
- Showcase and publicity: publishing shortlisted works, finalists, and winners in galleries, press releases, social media, and event materials, with credit where appropriate
- Security and integrity: preventing misuse, detecting fraud, enforcing rules, and maintaining platform security
- Analytics: understanding traffic and improving the submission portal and user experience
- Legal compliance: responding to lawful requests and managing disputes

Although the submission portal is hosted in Indonesia, personal data and submission materials may be accessed or processed from outside Indonesia, including Singapore, for competition administration and international jury review. We will take reasonable steps to ensure appropriate safeguards for such access and transfers.

We retain personal data only for as long as necessary for the purposes described above. A typical retention period is up to 24 months after the award ceremony to manage administration, audits, publicity archives, and dispute handling, unless a longer period is required by law or reasonably necessary.
We may retain published finalist and winner materials longer for archival and showcase purposes, with attribution.
9. Security
We implement reasonable administrative, technical, and organisational measures to protect personal data, including access controls, role based permissions, and security monitoring. No method of transmission or storage is completely secure. Please use unique passwords and keep your accounts safe.
